All of the images on this CD are stored with keywords. You can use these keywords to help you to find the right image. This can be done by using the ‘keyword mode’ (under ‘search menu’) and adding keywords of your choice to the search criteria box in the following ways:
I) Use the full keyword list on the right hand side (the ‘all keywords’ box is automatically selected by default). Use the A-Z list or the drag bar to move through this full listing of keywords. Clicking on the word will add it to the search criteria box.
II) Use the free text entry box. This allows you to navigate quickly through the keyword lists. As you enter the letters you will see the keyword that most closely matches the spelling of what you have typed, at the top of the keyword list box.
III) A quick selection function has been included to give you access to the most popular keywords. To use these, click on any of the subject headings. The relevant keywords will then appear in the keyword list box.
IV) If you wish to search only archival imagery, this can be done by using terms under the ‘archive’ heading, along with any other keywords. Only archive images will be searched.
V) If you wish to search all of the heading’s keywords, click on the heading, then click on ‘select all’.
Every time any term is added to the search criteria box, the search is automatically carried out and the results appear underneath. To view these images at any time, click ‘OK’, or on ‘view results’ in the navigational bar at the top of the screen.
To widen your search, for example to find banknotes and coins, enter the keyword ‘banknote’, check the OR box and enter the keyword ‘coin’. Your search will locate all images which are associated with either banknotes or coins.
To narrow your search, for example to find red cars, enter the keyword ‘red’, check the AND box and enter the keyword ‘car’. Your search will locate all images which are associated with car and red.
To exclude an item from your search, for example to find offices that do not include telephones, enter the keyword ‘office’, check the AND NOT box and enter the keyword ‘telephone’. Your search will locate all images which are associated with offices, excluding those associated with telephones.
You may also search by photographer name. Click on ‘photographer’ and then make your selection from the list which appears in the keyword list box.
You may also search by image reference. Click on ‘image reference’ and make your selection from the list which appears in the keyword list box.
If you make a mistake, you may undo your last change to the ‘search criteria box’ by using ‘undo’. Use ‘clear all’ to begin a new search.
2. View Results Screen
Images found by your search are displayed as thumbnails in the grid on the View Results screen. When you position your cursor over a thumbnail, a box appears containing information about that image; the reference number, the photographer and description.
To view any of the thumbnails at full screen size, either double click on each image, or click on the enlarge button. The enlarge button changes the cursor into a magnifying glass. Then click on any thumbnail to see the full screen image. Once in full screen view you can zoom in and out of the image by clicking and dragging the mouse. Clicking ‘100%’ takes you back to the full size image; ‘back’ takes you back to the View Results screen.
You can select a thumbnail, or a selection of thumbnails, by clicking once on them. A selected thumbnail can be de-selected in the same way.
Either a single image or a selection of images can then be stored for later use in a pasteboard by clicking on ‘add to pasteboard’. The name of the current open pasteboard is highlighted in the ‘current pasteboard’ box. Clicking on a different pasteboard will make that the current pasteboard.
Multiple or single images can also be ordered. Click ‘add to order’ if you wish to purchase the right to use these images. These will be stored on the order form which can be faxed or emailed to your nearest office.
Multiple or single images can also be downloaded. Clicking ‘save to disk’ will save all the full screen image files to any location on your computer.
Click on ‘show highlighted’ will remove any thumbnails not selected. To return to all thumbnails click ‘show all images’.
3. Pasteboard Screen
You may collect sets of images into named pasteboards. The name of the current open pasteboard is highlighted in the ‘current pasteboard’ box. Clicking on a different pasteboard will make that the current pasteboard.
Clicking ‘100%’ takes you back to the full size image; ‘back’ takes you back to the Pasteboard screen.
You can select a thumbnail, or a selection of thumbnails, by clicking once on them. A selected thumbnail can be de-selected in the same way. Selected images can be removed from your pasteboard by clicking ‘remove’.
Multiple or single images can also be ordered. Click ‘add to order’ if you wish to purchase the right to use these images. These will be stored on the order form which can be faxed or emailed to your nearest office. If you wish to order every image in your pasteboard, use ‘order pasteboard’.
Multiple or single images can also be downloaded. Clicking ‘save to disk’ will save all the selected full screen image files to any location on your computer. If you wish to download every image in your pasteboard, use ‘download pasteboard’.
Clicking on ‘create new pasteboard’ allows you to create a new pasteboard. ‘Rename’ allows you to rename any of your pasteboards, and ‘delete’ allows you to delete a pasteboard.
4. Slideshow Screen
The slideshow displays each image and its details, in turn and in the order that it appears, from either the ‘view results’ or the ‘pasteboard’ screen. The highlighted word underneath ‘slideshow’ on the navigational bar indicates where you started the slideshow from.
If you are viewing only the selected images in ‘view results’ then the slideshow will be limited to just these.
The show can be paused at any time by clicking on the stop button, or you can navigate forwards or backwards through the selection by using the forward and reverse buttons; this alters the direction in which the show plays through the set of images. When the show is paused, you can also download or order that image.
5. Order Screen
Any images which you ordered during searching will appear on the order form. It tells you in the top right hand corner how many images you have ordered. Each image appears as a thumbnail on the order form, with its description and image reference number.
For each image, please fill in your intended use, then click next page, which takes you to the next ordered image. Continue until you have completed the details for all the images you wish to order. If each image has the same use, to save time you can click ‘copy previous details’.
At any stage, you can move backwards or forwards through the ordered images to edit your details or actually remove that image from your order.
When you have completed filling in the details for all the images you wish to order, click ‘OK’. Then a new page appears, for you to fill in your personal details. These will be stored from your previous order.
The order form can then be printed off, for faxing to your nearest office. By clicking on the ‘print preview’ button, you can check over any details on the form. If you prefer to email the order as a file, click ‘save for email’. This allows you to save the order form as a text file, which can then be attached to an email and sent to the email address of your nearest office. Please see ‘who to contact’ details on the ‘about’ section of the CD for the address.
